About the product

What is Gestion POS?

Gestion POS is a point-of-sale and stock system for independent shops. It runs the till, keeps your stock figures, records deliveries, handles customer tabs, and gives you takings, cash-ups, VAT on sales and profit reports. It is part of Gestion, a South African business platform from Afrigenius.

Which businesses can use it?

Shops that sell from stock over a counter. It is set up today for vape shops and wholesalers, tyre shops and automotive retail and liquor stores, and it suits most other independent retailers too. Each Gestion POS system runs one shop.

Does it support wholesale and retail?

Partly. You can sell by the unit and by the box or case, each at its own price, put trade customers on a tab, and send them invoices and statements. Separate wholesale price lists, prices per customer, minimum order quantities and an ordering portal are not available today.

Does it connect to my accounting software?

Not directly. There is no link to Xero, Sage, QuickBooks or similar today. Sales, takings, profit, cash-ups, stock and balances owed can be exported to a spreadsheet for your accountant.

Selling and stock

Can I manage products and stock?

Yes. Add products with their price, cost, barcode, VAT treatment and photo; see stock on hand and its value; run blind stock counts; correct and move stock with a reason; and use a buy list with suggested order quantities based on recent sales.

Can I record supplier purchases?

Yes. Book in each delivery with quantities and costs, or load it from the supplier’s spreadsheet. Each delivery is numbered, keeps the supplier’s name, and must add up to the slip total before the stock loads. There is no supplier directory or purchase-order system today.

Can I use barcode scanners?

Yes. Any USB or Bluetooth scanner that types like a keyboard works at the till. A phone can also be paired with the till as a camera scanner; that works in Chrome on Android. Barcode label printing is not part of the product.

Does it take card payments?

You take card and QR payments on your own card machine or QR code, and the till records how each sale was paid: cash, card, SnapScan / QR or Instant EFT. Gestion POS is not linked to a card machine or payment provider.

Does it support customer accounts?

Yes, as customer tabs, which you switch on in Settings. Sales go on a tab, payments come off it in part or in full, and statements and invoices go out by email or WhatsApp. A view of every balance owed, by age, shows who to follow up.

Money and reports

Can I view sales and VAT reports?

Yes. Takings by day, week, month or any dates, by payment method and by cashier; profit and margin per product; cash-ups; and the VAT charged on your sales for any period. The VAT report covers sales only: it does not include VAT you paid suppliers, so it is not a full VAT return.

How does the cash-up work?

A till opens with a float. At close the cashier counts the drawer without seeing what it should hold, and the system shows expected, counted, and short or over. Cash taken out during the day, such as a drop to the safe, is recorded with a reason so it is not counted as a shortage.

Set-up and devices

Can I manage multiple branches?

Each Gestion POS system runs one shop, and that shop can have several tills. Running several branches from one system is not available today. If you have more than one shop, tell us when you book a demo.

Does it work on mobile devices?

Yes. It runs in the browser on a counter computer, a tablet or a phone. On a phone the basket folds into a drawer at the bottom of the screen, and the till can be installed like an app.

What happens if the internet connection fails?

Cash sales can carry on. Each one is saved on the till with its own slip number and sent when the connection returns. By default an offline sale can be up to R5,000, with up to R20,000 waiting to send; you can change these limits. Card, QR and EFT payments, tabs, returns and slip printing need the connection.

What happens to my business data?

Each shop has its own system and its own database, used for that shop alone. It makes an automatic backup every hour, and older backups are kept on a thinning schedule. Staff sign in with their own accounts and till codes, each role sees only what it needs, and an audit trail records who did what. Where your system is hosted, and how off-site copies are handled, is agreed with you when it is set up.

Pricing and demos

How is pricing determined?

By the number of tills, per month, excluding VAT: Spaza (1 till) R150, 2 to 5 tills R700, 6 to 10 tills R1,000, and more than 10 tills on request. See the pricing page for what each plan includes.

How do I arrange a demonstration?

Fill in the demo request form. Tell us what kind of shop you run and how you would like to be contacted, and we will be in touch to arrange it.

Easier to see it than to read about it?

Tell us what you sell and how you work. We will show you the till, the stock screens and the reports on a shop like yours.
